Administration Manager

Based in Harpenden, Hertfordshire, our client seeks a Administration Manager who can join the team on a permanent basis.

This job would suit an individual who is confident, enthusiastic and self-motivated who has effective and efficient time management of self and duties.

The successful individual will have previous experience in a supervisory or management role. You will need detailed knowledge of Accounting and IT systems. You will have a methodical approach with an ability to work under pressure. This person will work well independently within a growing team with a good judgement to know when to ask for help or guidance. Excellent presentational skills for all correspondence, letters, presentations and data as well as numeracy and grammar are essential.

Duties will include:

  • Prepare and complete all sales invoices for service users
  • Liaising with internal departments to ensure information is correct
  • Check the daily accuracy of the sales information
  • Ensure contracts and all relevant paperwork are complete & received on a timely basis
  • Creating new contracts for billing
  • Contract amendments in accordance with internal document requests
  • Generation and checking of billing run in accordance with timetables
  • To produce reports on a timely basis
  • To ensure the month end procedures and deadlines are followed
  • To support the Head Office Accounts Department as required
  • To check information received from Managers is accurate and that rates are correct
  • To provide assistance at the Year End audit
  • To assist the Head of Finance with projects that may arise in the development of the business
  • Run training sessions with internal management on Finance processes
  • Occasionally asked to attend regional meetings and present to management teams
  • To ensure the security of all information received
  • Managing a busy email box receiving around 250 per day
  • Calculation of wage budgets
  • Dealing with telephone queries
  • Data Entry
  • Management and control of the Contract Admin team, incorporating:
  • Performance management and review
  • Annual appraisal and regular one to one review
  • Internal audit compliance
  • Delegation of duties
  • Any other task that may reasonably be requested by Management
